Deadlines & Approving Your Yearbook

So you’re all finished with your book, huh?! HOORAY! Congrats on all your hard work this year!

When is my deadline?

Plan to finish and submit your book 30 calendar days before you want to receive them.

You are in complete control over when you finish your book and when you will receive it. We recommend giving yourself 30 days to work through our workflow and approval process.

We provide you a reminder countdown at the top of your page when you are logged in. Here’s what it looks like:

When is my deadline? Can I change it?

You are in complete control over your deadlines. You need to keep in mind that we recommend submitting your book 30 days before you would like them delivered. It takes most schools approximately 30 days to complete the review and approval process.

Can I put my late events into the book? (Spring Sports, etc.)

We recommend starting your process 30 days from when you want to receive your book. However, you can see in the timeline below that there is opportunity for corrections. You should 100% Complete any pages that can be done, all Panel Page reviews, and fully be ready with every other page in your book.

For example, if you are waiting on Page 43 – Boys Baseball this should be ONLY page that is incomplete and needs revisions. Everything else in your book should be 100% complete. When you receive those photos you can put them in.

Keep in mind that you will ONLY receive 1 hard copy proof, and we MUST have 10 days of printing time. So while there is some limited flexibility to add things close to the end, you’ll want to keep them at a minimum and be extremely organized with the rest of your book.

I am running behind, can I skip steps?

No. We do not allow you to skip any of the proofing steps. These steps have been put into place to eliminate issues when you receive your books. This means you cannot skip PDF or Hard Copy reviews.

We recommend giving yourself 30 days for the entire approval workflow process to play out.

When will I get a date for yearbook delivery?

We can only provide you a firm delivery date when you have completed your yearbook approval form. This is a quick 10 question form that you will fill out after you have completely and entirely approved your yearbook. We are not able to provide you this approval form until your yearbook is 100% approved after you have received your hard copy.

When do I need to decide how many books to order? Can I order extra books?

We will assist you in completing your Yearbook Approval Form as the final step in the yearbook process. It’s at this time that you will decide how many books to order. You do NOT have to decide how many books to order until you are filling out your final approval form. When determining how many books to order, you’ll want to look at:

– How many books were sold online.
– How many books were sold at the school site.
– How many books do I want to have extra on-hand to sell in person.

What happens when I am finished with my book?

 This is what to expect, in the following order:

Step Timeline Example Date
1. You “Submit” your book via Yearbook Master. Within 2-4 days you will receive a PDF. You submit your book on April 1st.
2. We export your book and send you a PDF to review. You have 48 hours to review your PDF. You receive your PDF April 5th.
3. We unlock any pages and you make any modifications necessary. You have 48 hours to make any corrections to your pages. You finish corrections April 10th.
4. Once any modifications are made, we print 1 hard copy of the book for you to review/approve.  You have 48 hours to review and approve your hard copy. You receive your hard copy April 15th.
5. You FULLY approve your book to print and select the number of copies. (10 days to receive your printed books, once fully approved) No further action required after you complete your approval form. You submit your approval form on April 20th.
You receive your yearbooks 10 business days after you complete your approval form. All books require 10 days of print time from the date you submit your final approval. All books will be delivered to the school. You receive your books April 30th.

You are guaranteed to receive your yearbooks within 10 business days of you completing your approval form.
We are not able to guarantee you will receive your books FASTER than business days 10 days.
If you have a strict deadline, please submit your final approval form more than 10 days prior to the date you wish to receive your books.

 Yearbook Approval Workflow

1. Submit Your Book
Mark all your pages as complete, and submit your book for the next step!
(when logged into Yearbook Master, at the very top of Work on a Page, you’ll see the Submit button.)

2. Wait for & Check Your PDF
Once you submit your book, we will export it from Yearbook Master and send you a PDF to review.
You should expect this PDF within a few days of you submitting your book.
The main adviser should check their email for this PDF.

Review your PDF for the following:
– The order of your pages
– All text/photos are correctly placed, and are in the right spot
– Spelling of all text
– Panel pages are correct, no pages or classes are missing, names are properly spelled and no persons are missing
– Any other pertinent information

3. Make Corrections or Good To Go?
After reviewing your PDF, you’ll either have corrections that need to be made, or your book is good to go and ready to move to the next step.
If you have corrections, please reply back to your PDF email with which pages need to be unlocked.
We will unlock those pages and you will be able to go back and make whatever corrections you need to.
Once you are complete with your corrections, submit your book again (just as in Step 1). We’ll render a new PDF to you for review.

4. Receive & Review Your Hard Copy
Once your PDF is approved, we will print a single copy of your yearbook for your review.
We will deliver this hard copy to you directly for review.
By this point, you should have already made any necessary corrections.
The purpose of the Hard Copy is to review the cover, the layout, and ensure the trimming of the book is correct.

5. Approve Your Hard Copy & Submit Your Final Book Counts
Once your PDF is approved, we will print a single copy of your yearbook for your review.
We will deliver this hard copy to you directly for review.
By this point, you should have already made any necessary corrections.
The purpose of the Hard Copy is to review the cover, the layout, and ensure the trimming of the book is correct.
